Policies & Procedures

Attendance/Make-ups
While we encourage parents to bring their children to all scheduled classes, we do realize there are times when students must miss a class due to illness.

Therefore, we will allow a maximum of two make-up classes for classes that are missed due to illness. The make-up classes must be completed during the session in which the regular classes are missed and may not be carried over to another session.

Make-ups are a courtesy service and are not guaranteed. We will not schedule a make-up if the safety and quality of instruction given in the class will be compromised.

To schedule a make-up class, please contact the front office at 706-613-3589 and ask for gymnastics.

Athens Clarke Gymnastics Academy reserves the right to remove a student who has more than two consecutive absences from a class. No refund or credit will be given if a student is removed due to excessive absentism.

Health Policy
Here at Athens Clarke Gymnastics Academy we pledge to have an environment that is safe and clean. We disinfect our mats and toys daily. We also have the carpet on our floor exercise cleaned and disinfected after each session.

We ask our staff and participants to help us keep our environment healthy by washing their hands before each class.

We ask our parents to keep their children at home if they experience any of the following symptoms:

1. They have been kept out of school or they have been sent home from school due to illness

2. They are running a fever

3. They have a runny nose

4. They have anything contagious and could pose a risk of infecting others

5. They have been exposed to anything contagious

6. They have a severe cough

7. They have open, runny wounds on feet, legs or hands

We also teach our students to cough into their elbows rather than their hands.

If your child becomes sick with a contagious illness immediately after attending a class, please contact the gymnastics office at 706.613.3589 and notify us so we may notify the parents of children in your child's class. We also ask that parents not bring sick siblings to class.

Dress Code
Girls - Preferably a leotard, but t-shirt (tucked in) and athletic shorts (no jeans) will suffice. No socks or shoes. Tights are allowed as long as the feet are not covered. Hair should always be pulled completely back out of the face.

Boys - T-shirt and athletic shorts (no jeans) are recommended. No socks or shoes.

No dangly jewelry or clothing with zippers or buttons is allowed for any student. They can injure the student or the coach as well as damage the equipment.

Long hair must be completely pulled back and secured in pigtails or a ponytail. Loose hair posses a high risk of injury to the gymnast.

Inclement Weather
We do not follow any school systems closing. Therefore, parents will need to call the front office, 706-613-3589, in case of inclement weather, to see if gymnastics classes will be held.

Safety Statement
There are risks involved with gymnastics simply because there is height, motion and power involved with the gymnastics skills and their performance. Additional risks are created by the training or practice environment and by improper conduct during the activity.

Therefore, it is our policy to strongly discourage skill practice at home. Instead, we suggest strength and flexibility exercises such as push-ups, sit-ups, crunches, and splits. Each instructor is working hard to maintain safety in the interest of all students.

Gymnastics skills need undivided attention. Therefore, parents who wave or call out instructions may distract not only their child but the other participants in the class. These distractions also contribute to the instructor having to regain the student's attention.

We ask parents to discourage their children from leaving the class unless it is an emergency. All students should use the restroom before the start of class. If you have questions regarding your child's progress, see the instructor prior to or immediately following the class.

Observation
We encourage parents and others to see our quality program with their own eyes. Parents of recreational students are welcome to observe classes at their convenience. Our observation area is located downstairs on the stage. Special accommodations can be made for those who are physically unable to go up the stairs leading into this area. Only students participating in their respective class are allowed in the main gym. Families, friends, and siblings must remain in the observation area. Please be courteous of others in the observation area and instruct others you are responsible for to be courteous as well. Inform your child and the teacher if you will not be staying during their class time. Upset children looking for mom or dad can make teaching gymnastics quite difficult.

Refund Policy
1. If Leisure Services is responsible for the cancellation of a program or class, then a full refund will be issued to all registered participants.

2. No refunds will be granted after the start of the program session or class. Fees collected of less than $5.00 will not be refunded (unless the Department cancels the program or class).

3. All refund requests must include a completed Refund Request Form and must be received no less than seven (7) business days prior to the first day of the program or class.

4. Refunds will be assessed an administration fee of 25% of the amount paid. This fee applies to all programs with a fee of $5.00 or more.

5. After the seven (7) business day deadline, refunds may not be granted without a written medical excuse from a licensed physician.

6. Requests must be received from and refunds will be issued to the individual who registered the participant.

7. Where applicable, programs in high demand may require a non-refundable deposit in lieu of the administrative refund fee of 25% of the amount paid.

8. In unusual situations (patron is relocating, has an illness or becomes physically unable to continue program, etc.) where a refund is requested for services that have been paid in advance (such as annual passes), the balance of the remaining value may be refunded after receipt of a written request.

9. Behavior related dismissals may not be eligible for refund.

10. All requests for refunds will be forwarded to the Department Director for final approval.

Student Arrival and Pickup
Classes will begin at their scheduled times. Please do not drop off your child more than 15-minutes prior to the beginning of class.

Upon arrival either wait in the lobby area or in the observation area until your child's class is called.

Students must be picked up promptly at the end of the class period from inside the building. Please do not instruct your child to wait for you outside the building. Children are not to be left alone without a responsible person for an extended period of time. Athens Clarke Gymnastics Academy will not be responsible for children not enrolled in our program and/or not participating in a scheduled class.

Private Lessons
Individual or semi-private (2 students) lessons are available to students who need extra attention on a specific skill or skills. We do not encourage long-term private lessons as we feel students progress better in a class environment.

Lessons are available from select staff members for either a half-hour or a full-hour and must be scheduled in advance through the office.

Non-members must join Athens Clarke Gymnastics Academy by paying an annual registration fee of $25 per person.

For each lesson given, the person responsible for payment must pay a non-refundable fee per student to the front desk at the time the appointment is scheduled. This fee is $20 per person for a half-hour and $30 per person for an hour. Two-student semi-private prices are $30 for a half-hour and $50 for an hour where these costs are equally divided between the two students.

Lessons will only be scheduled during regular class hours.
